Duties and Responsibilities:

Audit Planning

• Efficiently plan and schedule audits for both new and existing customers, ensuring alignment with their specific requirements.

Daily Administration

• Manage daily administrative tasks, including:
• Coordinating logistics and courier services as needed.
• Handling sample coordination with the laboratory and tracking results.
• Ensuring timely delivery of audit reports to clients.
• Keeping the tracking sheet updated for management reporting.
• Implementing and maintaining an accurate and organized filing system.
• Managing all client audit files electronically while meeting KPIs for each audit stage.
• Ensuring all activities comply with established process flows.

Excel and Data Work

• Use Excel to maintain and analyze large sets of data related to audits, including tracking audit schedules, results, and KPIs.
• Create and maintain complex spreadsheets to track client progress, report statuses, and manage data flow.
• Prepare and update audit reports, audit schedules, and tracking sheets using Excel functions (e.g., VLOOKUP, Pivot Tables, charts, and formulas).
• Implement data validation techniques to ensure accuracy and consistency across all data sets.
• Ensure data integrity across systems and databases.

Scheduling Tasks

• Perform scheduling duties with accuracy and efficiency, including:
• Updating the audit schedule and A.LIMS audit plan daily.
• Scheduling auditors and site visits effectively.
• Maintaining and monitoring audit dates in the diary/tracking sheet.
• Communicating with auditors to confirm dates and providing relevant audit details.

General Administrative Duties

• Support general administrative functions, such as:
• Coordinating courier collections and deliveries as needed.
• Assisting with additional administrative tasks as required.

Quality Assurance

• Ensure all deliverables meet the highest quality standards.

Queries

• Handle inquiries from auditors, and the food safety inspections team promptly and professionally.

• Tertiary Qualification in Biotechnology, Microbiology or Environmental Health.
• Preference will be give to EE candidate

• Perform sample preparation for simple tests independently.
• Handle sample storage and disposal after testing is completed.
• Cleaning and disinfection of laboratory environment, plastic and glass ware.
• Improve laboratory efficiency.
• Ensuring adherence to departmental TAT’s and early warnings to direct supervisor of any delay on TAT.
• Responsible for the upkeep of laboratory instruments.
• Ensure that all preparation, storage, disposal and related tasks are performed in accordance with OHS and Quality Assurance Policies and Procedures.
• Implementation of quality TAT corrective actions for area of responsibility.
• Maintain good housekeeping practices.
• Must read all relevant MSDSs.
• Wear correct Personal Protective Equipment.
• Conform to all relevant SHEQ procedures and signage.
• Other duties as assigned by the company that are within the Employee’s scope of work.

• Must be studying towards a National Diploma in Biotechnology with all theory subjects fully completed and needing 6 to 12 months practical work experience in order to graduate.
• Preference will be given to EE candidates

• Required to perform routine chemistry procedures such as PH, conductivity, ICP analysis, auto analyser and adhoc analysis as required by the laboratory.
• To provide support to the Chemistry laboratory.

• Must be studying towards a Tertiary Qualification in Analytical Chemistry with all theory subjects fully completed and needing 6 to 12 months practical work experience in order to graduate.
• Preference will be given to EE candidates

• Conducting simple and complex tests independently.
• Interpreting data against known sources of information.
• Trouble shooting where necessary.
• Responsible for the entering, verification and reporting of test results as Technical Signatory.
• Improve lab efficiency.
• Ensure adherence to departmental TAT’s and inform direct manager of any delays to TAT.
• Oversee instrument operations and notifying management of calibration and service requests.
• Cleaning and disinfecting equipment.
• Ensure that all analysis and related tasks are performed in accordance with OHS and Quality
• Assurance Policies and Procedures and implementation of corrective actions.
• Maintaining acceptable proficiency scores for work conducted.
• Ensure correct stock levels are maintained for testing.
• Managing consumable costs.
• Other duties as assigned by the company, within the Employee’s scope of work.
