UPL South Africa invites unemployed graduates to apply for Regulatory & Development Administrator permanent position.

Role Summary

Provide routine administrative support to the Regulatory and Development team in preparing submissions, data management and control over ordering of trial samples. Manage processing of invoices for all product development and regulatory related payments according to finance requirements.

Role Responsibilities:

Regulatory & Development Payments

  • Generation of purchase orders – & GRN
  • Payments
  • Invoicing
  • MDO Vendor Creations for R&D

Permit Applications

  • Responsible for import permit and import for export permit applications

Legalisation of Documents

  • Responsible for the legalisation of documents

Sample Coordination

  • Coordinate sample requests, tracking and permits locally and globally in line with the global sampling team

Dossier Files

  • Preparation of dossier files for submission, including printing of file labels/dividers etc.

Courier

  • Responsible for courier of documents to and from the regulator and globally

Regulatory Project Planning Meeting Minutes

  • Capture meeting minutes for regulatory planning meetings

Ordering of Stationary Supplies

  • Responsible to ensure that the regulatory office is stocked adequately with stationary supplies, especially supplied related to submissions to ACT 36

Tremcards

  • Responsible to generate Tremcards as per supply plan

Regulatory Vault/ Archive

  • Responsible to control and maintain the regulatory documents and files in accordance to approved and standardised practices

Database Management

  • Responsible to ensure SDS, label and Tremcard databases and folders are current and up to date

Any Other Job-Related Details

  • Samples – requests, tracking & Import permits
  • Help with Labels, SDS and Tremcards to be always the latest available on a shared file with marketing, supply chain, commercial, website and to send/reply when requested.

Financial Accountability

  • Ensure all invoices are processed and paid on time

Strategic:                                                        Strategic 5%; Tactical 95%

Internal Stakeholders

  • Regulatory specialists: Coordinate and schedule weekly collections and payments.
  • Development specialists: Generate PO request forms for trials and residue samples. Make sure the invoices are paid on time.
  • Finance: Follow-up on invoice processing and payments on a bi-weekly basis
  • Marketing: Assist with import permits and samples for demo trials. Share labels and SDS’s when needed
  • Supply chain: Issuing of Tremcards and SDS’s
  • Global Sampling Team

  • Regulatory Authorities: ACT No. 36 of 1947
  • Development Trial Contractors
  • Residue Testing Laboratories
  • Shepstone and Wylie for legalizations
  • Courier companies: Bidvest, Hazmat, SWE and DHL
  • Customs and clearing agents

Knowledge, Skills and Experience Required:

Two to three years of experience in individual or team orientated projects in a science-based environment

Technical Skills Requirements:

Finance processes and accounts management. Experience in SAP would be an advantage. Above average competency in MS Word and Excel.

Behavioural Requirements:

Detail orientated and analytical is key to meet the high level of accuracy required for regulatory compliance. Working in a solution driven environment requires a self-motivated and persistent individual with a high level of creativity to work towards fact-based problem solving. Good sense of time-management and prioritisation skills to support diverse projects running in parallel.
